Completing an override for a student

Summary

Learn how to provide a class override for a student

Body

Completing an override for a student is incredibly easy, but first you need to have expanded Banner access that allows you edit privileges to the screen SFASRPO - Student Registration Permit-Override. You can request this through this Expanded Banner Access/Permissions Request with ITS. You may also have to go through training or you may also have the option for David to train you - the latter will be easier and possibly even funner.

Once you have access, you'll be able to use the Banner (Internal Native) website through the Faculty and Staff Hub to access this override screen. Please note you'll need to be on the GlobalProtect VPN in order to access Banner if you're working remotely.

Once logged in, you can search for the screen in the search bar. The easiest way is to look it up by its unique code, in this case SFASRPO:

Click the results or press Enter and the screen will load. You will enter two things. In the ID box (1), enter the student's ID number who will be receiving the override. In the Term box (2), you'll enter the term/semester for which the student needs the override. Terms are specially coded, they are six digits codes comprised of a four-digit year followed by two numbers denoting the semester. 30 means Spring, 40 means Summer, 50 means Fall. So for Fall 2026 you will enter 202650, Spring 2027 will be 202730, and so on.

Once entered, press the Go button in the top-right corner of the page or you can press Alt+PageDown on your keyboard if you're fancy. You are now ready to give an override. You will have to know the error that the student is getting, only then can you know what override to give them to help with registration.

You will need at least three things: the override code, and the subject code and course number for the class you're giving an override for, CRNs are optional. This is what the screen looks like:

For the Permit box (1), you will need a specific override code. Here are the ones used in HEP most often and their purpose:

PREREQ - Prerequisite Override, the most common override, given for a myriad of situations where a student meets a prerequisite requirement for a class, but for one reason or another the system doesn't count it. As long as the instructor or advisor okays it, this can be given pretty freely
TRAN - Prerequisite with transcript, literally the PREREQ override but for students who meet the class prereq via a class on their unofficial transcript. This is common to give to students who have not yet had their transcripts officially evaluated, but very clearly have a general studies class complete which is required to register for a core or upper division class
CLASS - Class Restriction Override, given often in very specific situations, most commonly when a class of ours requires a student to be a Junior or Senior and they're short a few credits. You'll see this often with HCM 3150 and some Senior experience courses
DEPT - "See Department" Override, used often for any situation where a student is getting a "See Department" error. This is most common for a student trying to register for an internship course without properly completing the process and getting an override ahead of time. You will also see students get this error if it's past the self-registration date for a class. In this case, the student must complete the Late Enrollment form to get into the class, not provide an override directly
REPEAT/CRS - Additional Repeat by Course, given to students looking to retake a class they previously failed or withdrew from. If it's a second attempt, they can usually be given on request by a student. If it's the student's third attempt, they need to meet with an advisor to discuss a plan for success in the class because generally if a student doesn't pass a class after three times, that's a hard limit and signal that they may need to change programs
TIME - Time Conflict permission, given to students who have are trying to register for a class that has a meeting time that conflicts with another class they're already registered for. These should be given out CAREFULLY so as not to complicate things for the student, usually with instructor permission, but there are situations where these are a good solution for a student
COREQ - Corequisite Override, used for students having trouble registering for a class that has a coreq class. Most common use for this is a student trying to register for HCM 3030 without HCM 3150 which is its coreq. In some cases, students may have completed HCM 3010 and 3020 which meets the requirement for HCM 3150 and don't need to retake it

If you forget a code, you can click the button to the right of the Permit box that has an ellipsis/three dots on it to display all the different override options to jog your memory.

For the Subject box (2) and Course Number box (3), you simply need to know the class to override. For HCM 3150, the "HCM" is the Subject and the "3150" is the Course Number. This should absolutely be known if you're in contact with the student. You can use the CRN, the unique identifier for each section of a class, by plugging it into the CRN box, but it is usually better to only enter the Subject and Course Number if there's multiple sections of a course to choose from.

Once each field has been entered, you can click the Save button in the bottom-right of the screen or press F10 on your keyboard to save the override. If any errors display, you will have to resolve them (double check the class information, etc.). These overrides apply immediately and do not require a waiting period - have the student attempt registration again and have them follow up with you if a new error appears or the same one persists (in the case of the latter, you may have entered the override for the wrong term, not that I've ever done that before).

Congrats, you've now successfully assisted a student with a class override! If you have any questions or need clarification on this process, please ask David Rodriguez or whoever may be the office administrator at the time.
