[NEW] Phone call management in Teams

Teams call management icons

Below are where users can often find the features available during an audio call on Microsoft Teams. Please note that locations may vary slightly depending on the device used and app versions.

Muting a Teams call

In the upper-right corner of the Teams window, to the left of the "Leave" button, is a microphone icon. Click it to mute (or unmute) the call.

Putting a Teams call on hold

To put a call on hold, click Hold in the menu along the top of the window. To take a call off hold, click Resume in the same place.

Transferring a Teams call

The following instructions assume you are warm-transferring a call between parties – that is, speaking with the person you're transferring the call to, then speaking with both parties to hand off the conversation.

  1. Put the call you are transferring on hold.
  2. Click the Transfer icon.
  3. Two options will be presented. Click Consult then Transfer.

  4. Search for the person you want to transfer the call to, or enter their number directly.
  5. Click the dropdown menu next to "Chat" to see more consulting options.
  6. Click Teams audio call to start a call with the person you're consulting.

  7. Once you're ready to make the transfer, click More next to the call options in the top bar.
  8. Click Merge Calls.

  9. Select the calls you want to merge.
  10. Click Merge.
  11. Once you have completed handing off the call, you can click Leave to exit the call.

Managing calls received during other calls

  1. Click the three dot menu next to your profile avatar to open the general Settings menu.
  2. In the listing on the left, click Calls.
  3. Locate the When you're in a call and receive another call section.
  4. Select your desired option from the drop-down menu:
    • Let new calls ring me
    • Play a busy signal
    • Redirect as if call is unanswered
      • This option will follow the rule you've set in the "If unanswered" section above this one. By default, this routes to voicemail.

Setting up speed dial in Teams

  1. Open the Calls tab.
  2. Locate the Speed dial column (on the far right by default).
  3. Click the Add to speed dial icon in the upper-right corner of the Speed dial column.
  4. Search for the contact you wish to add to speed dial, or manually enter a phone number.
  5. Click Add.

Once configured, you can call any of your speed dial entries with a single click.

  1. Hover your cursor over a speed dial entry to reveal call buttons.
  2. To make a video call, click the camera button. To make an audio call, click the phone button.

Blocking a number in Teams

  1. Open the Calls tab.
  2. In the central History column, locate the person or number you wish to block.
  3. Right-click the call's entry.
  4. Click Block.
