Office 365 Email FAQ

What are the limits on email in this system? Can we change them?

Here are the limits on email within Office 365. These are set by Microsoft and we cannot change any of them.

  • Quota: 50 gigabytes

  • Maximum number of recipients per message: 500

  • Maximum size of attachment sent/receive: 25 megabytes

  • Maximum number of recipients per day: 10,000

These are very high limits, but in a few rare cases, you may encounter one of them, especially if you frequently send emails to large numbers of recipients. If you reach 10,000 recipients in a day, your email will be locked for 24 hours by Microsoft and we will not be able to unlock it!

Does this system have spam filtering?

Yes, spam filtering is built in. Messages the system determines are spam will be delivered to your Junk Mail folder for you to examine; if you tell the system that certain messages are not junk, it will adjust its criteria accordingly.

What email clients are compatible with Office 365?

Outlook 2016 and newer supports Office 365. Older versions of Outlook may also be compatible, but are not supported by Microsoft.

All versions of Mac Mail still supported by Apple (usually the three most recent versions of macOS) support Office 365.

There are no known incompatibilities with other mail clients (e.g. Thunderbird), but we recommend you only use up-to-date clients.

Will the Outlook Web App work differently when using browsers other than Microsoft Edge?

According to Microsoft, the full features of the Outlook Web App will be available in the latest versions of Edge, Internet Explorer, Firefox, Chrome, and Safari. Older versions may be supported as well, but Microsoft generally recommends using the most recent version of your preferred internet browser; older versions of a given browser may not have access to all of the Outlook Web App's features, may revert to the Outlook Web App Light, or may not work with Office 365 at all. For more information, please see Microsoft's article on Office 365's System Requirements.

Will the connection between my computer and the cloud server be secure?

The email connection types (Exchange, POP, IMAP, and SMTP) all support SSL encryption to secure your connection, and the web mail client uses https to secure your connection.

Will my username and password be handled securely in the cloud?

Yes. The Active Directory Domain Service stores passwords in form of a hash value representation of the actual user password. The Password hash cannot be used to log in to your on-premises network. It is also designed so that it cannot be reversed in order to gain access to the user’s plain text password. To synchronize a password, the Directory Sync tool extracts the user password hash from the on-premises Active Directory. Additional security processing is applied to the password hash before it is synchronized to the Azure Active Directory Authentication service.

Will my data be handled securely in the cloud?

Office 365 provides the ability to encrypt data at rest by supporting technologies that can encrypt the content of emails and/or files. The supported technologies for data encryption at rest include Microsoft’s Information Rights Management (IRM), S/MIME and PGP Email encryption and have the advantage of allowing the customer to maintain full control over the encryption infrastructure and key management on their premises.

Office 365 support for data encryption at rest technologies is designed to minimize the risk of information leakage by encrypting the content, allowing access only by the intended users and by extending the protection beyond the initial publication location. Microsoft’s IRM goes further by restricting the actions allowed on the protected content and also encrypting Office application document attachments.

Office 365 mitigates against the risk of unauthorized physical access with extensive physical protections in their datacenters and operational procedures.

Are Personal Folder PST files supported in Office 365

Yes, they are supported, and PST file functionality is the same as in older versions of Outlook.
