Overview of Printer Decommissioning & Lease Return

This request is for departments that need to decommission an old printer. For leased printers, this request will serve as your notification to the Office of the Controller that you wish to end the lease on your printer. This can be done in conjunction with ordering a new printer and starting a new lease. For purchased printers (non-leased), this request lets ITS know you would like to recycle the device.

Requirements to submit this request

Before submitting this request, gather the following information:

  1. The name of the old printer. This appears on a label on the front of the machine if present or on your computer when you go to print. Older Ricoh printers are named by their location, for example, SSB440MFP. Xerox and newer printers are named by their department, for example, DEPT-XEROX-1.
  2. The location (building and room number) of the old printer.
  3. The person responsible for managing the printer. This is usually the office manager.
  4. For leased printers:
    1. The supplier who owns the printer (usually Lewan or Ricoh).
    2. The machine ID. Usually located on the front of the printer.
    3. Date of last use: when you plan on ceasing use of the printer.
What to expect

A member of the Office of the Controller will receive your ticket and begin the process to notify the supplier that the lease is ending.
