New Leased Departmental Printer Setup

Important requirements before submitting this request

You must work with the Office of the Controller and Lewan & Associates first before you submit this request. Visit the Office of the Controller SharePoint. The Training  tab contains guides for how to order a new machine. The Forms and Requests tab contains the necessary forms to fill out. Look for the How to Order a New Copier link. This will guide you through the entire process. Once you reach Step # 7, you may submit this request with the red "Request Service" button on the right.

 

Overview on Departmental Leased Printers

MSU Denver has partnered with Lewan Technologies to provide leased, networked printer / scanner / copier machines (also known as Multifunction Printers or MFPs).  Lewan leases Xerox printer models.

Benefits of leasing printers for your department:

  • ITS supports the use of these leased Xerox MFPs over the use of smaller, departmental laser printers because support and repair is handled by knowledgeable service technicians from Lewan.
  • Lewan will handle printer supplies directly with your department.
  • Lewan handles device delivery to your office.
  • Additionally, ITS can provide scan-to-email and departmental print code lock-down functionality, should the department request it.

ITS will need this request submitted to prepare the network and device configurations before the printer is delivered to your department.

Requirements

Your department must have worked with the MSU Denver Office of the Controller and Lewan & Associates to secure a lease on a new printer. Visit the links in the yellow box above for more information. Once you have selected your printer and have a delivery date scheduled, submit this request by pressing the red button above, Request Printer Configuration with IT. We will need the following information when you fill out the request form here:

  • Person in charge of managing the printer (usually office manager or department admin).
  • Location where the new printer will be deployed.
  • Port number of the network jack the printer is to be connected to.
  • Xerox scheduled delivery date (if known).
  • List of people in the department you want added to the address book of the machine (optional) (see attachments to the right for a template).
  • Any restrictions such as print codes that restrict printing only to authorized people in your office (optional).

What to expect

A member of ITS will contact you upon receipt of this request to coordinate setup. On the day your printer is delivered, ITS staff will arrive on site to connect and setup the printer. You will receive knowledge base articles that you can send to your staff instructing them on how to add the new printer to their computers (see below). After setup is complete, your department is responsible for the addition and removal of any staff to the printer's address book. This includes managing print codes if you employ them. Training is available upon request. The managed printer can only be printed to from a wired network port on campus, not the wireless. In addition, we do not purchase or support single-user desktop printers or departmental laser printers that are not covered by the Xerox lease agreement.
